Hospitality Suites / Hosts must appoint a representative to communicate with Keycon’s Hotel Liaison.

Note: The Host will be required to provide a credit card to the facility for damage deposit and incidentals. Requests to the venue may result in charges to the Hospitality Suite, and the Host will then be responsible for those charges.
Setup
The Hotel Liaison will do a walk through prior to any groups receiving their rooms, Representatives may request to be present for walk through. Room Keys will be obtained from the Keycon representative by the room representative. Room check-in and check-out is subject to the hotel contract with Keycon, and any request for changes to the timing of the checkouts must be made through the Hotel coordinator. Current check in time will be 3pm on your date of check-in and check-out must be completed by 11am on your date of check out.
Requests of the Hotel

The representative is to provide the hotel coordinator with a list of requests for your suite, at least 30 days prior to the convention. Examples of requests are as follows:
- Enabling or disabling of the television or other Hotel Amenities.
- Any additional services (vacuum, additional ice service, Towel Service, etc)
Ice delivery may be requested through Operations or the Hotel Liaison, at an additional charge to the Representative.
Other direct requests to the Hotel may result in charges being billed to the room, and the representative will then be responsible for those charges.
Badge Checks
All suites are required to check for membership badges, as only Keycon members are permitted within. This includes all persons staffing the suite. Persons with other passes (e.g., programming passes and vendor/marketplace passes) are not permitted to access the hospitality suites. Badging is required from Friday 4pm to Monday at 3am, including the Dead Dog. Suites who do not comply with the badging policy may be shut down, and held responsible for the cost of the suite.
Alcohol
Suites may serve alcohol, but must not charge for it, and are required to abide by all civic, provincial and federal liquor laws as well as the rules set forth in this document. Suites who are found to be non-compliant with the terms of this document will be shut down with no refund of the room cost. At all times alcohol is being served, there must be one suite staff member holding a valid Manitoba Responsible Service Certification present. Please provide proof of the certification prior to the convention and have it on
display in your suite.
Per Manitoba Guidelines, photo identification must be requested for every alcoholic beverage served. The Keycon membership badge does not qualify as proof of age of majority. Suites must not permit the service of alcohol during any events identified by the convention. The Hotel Liaison or Operations will inform the suites when they need to stop serving and when they may resume serving alcohol.
Food
If your suite wishes to serve food, they must follow all safe food handling practices. There must always be at least one person that possesses their Manitoba Health Food Handler Certification in the suite while food is being served or prepared, and all certifications must be displayed. Failure to follow safe food handling practices may result in shut down with no refund of the room cost. Suites may sell food and non-alcoholic beverages.
No hot plates, stoves, or fuel burning appliances are permitted in the suites. No open flame of any kind, including candles. Suites must ensure that all smoke detectors and safety information for the hotel are visible and not covered up by room decorations.
Crock pots and microwaves are permitted, but must not be operated on the floor of the suite. Please ensure you work with the Hotel Liaison to stay current with the hotel requirements. The Hotel Liaison will notify the suites of any changes in a timely manner.
Access and Advertising
All advertising for your suite at the event must only be placed in areas designated by the convention and hotel. Your advertising posters must include the following “Keycon Membership required for all rooms on the hospitality floor”. All posters must be approved by Keycon Operations before being placed.
Suites must not put up tables or displays in the hallways. Suites must ensure that the fire code is respected within their rooms and there are clear paths to exit.
Smoking, etc.
Please remember the hotel is a non-smoking or vaping area, and this does include hospitality suites.
